Attendance system tailored to your operations

We will design and install an attendance and access control system based on the number of doors, shifts and buildings you have, not on what is currently on offer. The package includes time recording that stands up to inspection and documentation that payroll accountants can actually use.

Who we build for

A company with one entrance and a company with three halls and shift operations need something completely different. That is why we do not first ask about the terminal brand, but how people move around at your premises.

Offices and business premises

  • One to five entries, fixed working hours
  • Records for payroll and inspection authority control
  • Department-based authorisation, server room separate

Manufacturing and shift operations

  • Shifts, overtime, night work and allowances
  • Agency workers and external contractors
  • A terminal built to withstand dust, moisture and gloves.

Multiple sites and turnstiles

  • One card for all buildings
  • Turnstiles, barriers and gates operating on the same authorisations
  • Centralised management of who is authorised to access which areas.

What this actually resolves

An attendance system is not purchased for its technology, but for three things that otherwise consume time and nerves.

Payroll data ready without transcription

  • Worked hours, overtime, night shifts and weekends are calculated automatically according to the rules you set.
  • The payroll accountant receives an export, not a spreadsheet for manual summation.
  • Repairs and approvals are logged, so it is possible to trace back who made what changes.

Order at entrances

  • Who is authorised to access which areas is configured centrally, not by changing locks.
  • A lost chip is blocked within a minute; a lost key requires replacing the lock cylinder.
  • Upon an employee's departure, access rights are revoked in a single step across all facilities.

The most common reason companies address this is not security, but disputes over worked hours. Once a dispute occurs, paper records are no longer sufficient.

How implementation proceeds

Five steps from the first call to handover. We handle most of the administration.

What affects the price

The catalogue package has one price for all facilities. The custom system has a price that matches your specific needs. This determines it:

Scope

  • Number of doors and entry points where reading is required, and whether reading is inward only or in both directions.
  • The number of attendance terminals and whether they are to be outdoor units.
  • Number of employees and premises sharing one card.
  • Turnstiles, barriers and gates operating on the same authorisation levels.

Building status and software

  • Condition of cabling and distribution boards, route lengths, passages between buildings.
  • Door type: electric lock, motorised lock, or milling into existing hardware.
  • Identification method: chip, fingerprint, face, mobile phone, or a combination thereof.
  • Integration with payroll software and the complexity of shift rules and allowances.

You will receive an itemised quotation specifying what is included and what is not, with a clear distinction between one-off investment costs and annual recurring charges. No on-site estimates.

Frequently Asked Questions

How much does an attendance system cost?

The price depends on the number of doors and terminals, the type of identification, the condition of the cabling, and whether the system connects to payroll software. Therefore, we provide a quote only after an inspection of the property, which is free and non-binding. Boxes from e-shops costing a few thousand exist, but they cover one entrance and one company without shifts; once you have more doors or need data for payroll, it becomes a different delivery.

Must a company keep records of working hours?

Yes. According to Section 96 of the Labour Code, an employer must record for each employee the start and end of shifts, overtime work, night work and on-call duty. The law does not prescribe the format, so paper is sufficient as long as no one needs to refer back to it. We discuss the difference between attendance records and working time records on a separate page.

How will employees be identified?

Most commonly via RFID chip or card, as this is the cheapest and fastest option. Fingerprint and facial recognition prevent the lending of chips between people, but they are biometric data requiring a legal basis and an impact assessment under GDPR. Using a mobile phone as a key makes sense where staff rotate frequently and you wish to avoid issuing physical carriers. Most operations combine two methods.

Will this integrate with our payroll software?

Usually yes. Exports to standard payroll systems are included; for some this is a direct interface, for others it is a file that the payroll accountant uploads. We clarify this at the design stage because most time savings depend on it. A system that monitors doors but does not provide data for payroll only solves half the problem.

How long does implementation take?

For a single building with several doors, we typically complete the work within two to three weeks from order, including inspection, hardware delivery and training. The main factors are the condition of the cabling and whether the doors need routing or if an existing electric lock can be used. For multiple buildings and turnstiles, the process takes longer and is carried out in stages to avoid interrupting operations.
